Facilitating a technical summit

Client: World Marrow Donor Association

Responsibilities: User Experience Designer

Challenge

The World Marrow Donor Association (WMDA) consists of over 1,100 global members and is a leading association in the field of blood stem cell transplantation with an interest in donor care. For the last 20 years, some of the larger registries have developed a communication system, EMDIS (European Marrow Donor information systems). They needed a facilitated technical summit with the aim of agreeing on a way forward regarding the future of their peer-to-peer communications platform. Both parties proposing different possibilities with previous attempts to come to a consensus not resulting in a decision.

Key achievements

Planned and delivered the 2-day technical summit. Several preparation sessions were conducted in the weeks before with both key WMDA and EMDIS members to understand the landscape and shape the summit. It became clear a lot of politics was involved in the decisions being made and this was mitigated by planning activities such as goal mapping the future solution as a group to come to a shared agreement. Hosted fully remote through Zoom using whiteboarding tool Miro to help conversations.

Workshop facilitation
Outcome

Successful agreement on goals future solutions should align to based on the aim of the summit and overall benefit to registries as a global community. Three key topics were discussed with input from Red Badger as a third party, with potential outcomes ranked through pros and cons before a vote on the chosen solution to take forward. An executive summary of the entire summit was captured with a technical write up and recommendations based on Red Badgers technical expertise.
